That loop works beautifully when there's a real customer on the other end who wants something. It breaks down when the first thing the AI hears is: "Thank you for calling Westside Motors, press 1 for sales, press 2 for service..."

A poorly configured AI will do one of two things in that moment. It will either stay silent and time out, or it will start trying to respond to the IVR prompt like it's a human conversation. Neither is good. The second one is worse, because the AI might actually start talking — saying something like "Hi, I'm calling about your vehicle inventory" — into a phone tree that isn't listening.

The same thing can happen with a live receptionist who answers with a scripted greeting and immediately asks to take a message.   3. Voicemail that starts with a human voice. Some GMs record voicemail greetings that sound remarkably like a live pickup — no hold music, no beep, just a natural-sounding "Hey, you've reached Mike, leave a message." The AI can misread this as a live answer. We've reduced the occurrence of this with audio analysis, but it still happens occasionally.

Knowing these failure modes exists is actually useful, because it helps you set up the integration correctly — making sure outbound call times align with when your target contacts are actually reachable, and flagging numbers where IVR behavior is known.

Why This Matters More for Inbound Than You Might Think

Most of what I've described above is about outbound calling — our AI reaching out on your behalf. But there's a version of the gatekeeper problem that affects inbound too, and it's worth addressing because it tends to be the objection GMs are really worried about even when they frame it as an outbound issue.

The fear underneath this objection is usually: what if my customers call in and get a confusing, robotic experience that makes them hang up? That's a legitimate concern. According to Cox Automotive's Car Buyer Journey study, customers who have a poor first phone experience are significantly less likely to visit a dealership — the initial contact sets the tone for the entire buying relationship.

How to Evaluate Any AI BDC on This Issue Before You Sign

  2. Ask what the AI does when it reaches voicemail. Does it leave a coherent message? Does it detect the voicemail reliably or does it occasionally start talking before the beep?

  3. Ask how the AI handles a receptionist who says "Can I ask what this is regarding?" That's the real gatekeeper test. If the AI answers that question and gets transferred correctly, the underlying call logic is solid. If it fumbles or launches into a pitch, you'll know.
